Privacy Notice for employees, personnel, and volunteers

We value your privacy and are committed to safeguarding your personal data. This Privacy Notice explains how we collect, use, store, and protect the personal and sensitive information of our employees, personnel, volunteers, and applicants for employment. By providing your personal data, you consent to its collection and processing as outlined below. 

 1. Information We Collect 

We collect both personal and sensitive personal information for employment, personnel management, and related purposes. This may include, but is not limited to, the following: 

- Personal Information:

Name, contact details (email, phone, address), date and place of birth, educational background, professional memberships, work experience, licenses, and photographs/videos. 

- Sensitive Personal Information:

Gender, ethnicity, religion, marital status, disability or special needs, disciplinary records, evaluation and health records, financial records, and government-issued IDs (e.g., passport, visa, Alien Certificate). 

 2. How We Use Your Information 

We process your information for the following purposes: 

- To process employment applications, job matching, and personnel records. 

- To comply with statutory requirements (e.g., payroll, benefits, taxes). 

- To provide access to campus facilities, online services, and monitor personnel movements. 

- To support foreign workers, process promotions, performance evaluations, and personal growth opportunities. 

- For benefits management, issuance of ID cards, and compliance with accrediting bodies. 

- For communications, safety, and security, as well as organizational marketing, publicity, and strategic planning. 

 3. Sensitive Personal Information 

In cases where relevant sensitive personal information is collected (e.g., health records, marital status), processing will be done in compliance with applicable statutory requirements and data protection laws, without the need for explicit written consent, where permitted by law. 

 4. Sharing Your Information 

- Internal Sharing: Your information may be shared within the organization when necessary to fulfill legitimate purposes. Access to your data is limited to those who need it for official reasons. 

- External Sharing: We may share your data with government agencies (e.g., DOLE, SSS, PhilHealth, BIR), accrediting bodies (e.g., PAASCU), HMO providers, and other third parties as required by law, for compliance purposes, or to fulfill legitimate interests in accordance with data privacy laws.

 5. Data Retention and Security 

We take appropriate measures to secure your personal data and retain it only for as long as necessary to fulfill the purposes outlined in this Privacy Notice. However, no method of data transmission or storage is 100% secure, and while we make efforts to protect your data, we cannot guarantee absolute security.

Under certain circumstances, the relevant personal information of employees, personnel, and/or volunteers may be retained indefinitely in our Library and Archives for historical purposes.

 6. Your Rights 

As an employee, personnel, or volunteer, you have the right to access, correct, and request the deletion of your personal data, subject to legal or contractual obligations. You may also withdraw your consent at any time, though this may affect your ability to participate in certain activities or benefits. 

 7. Confidentiality 

All employees, personnel, and volunteers are required to maintain the confidentiality of personal data that comes into their possession, both during and after their employment, including post-resignation or termination.

 8. Changes to This Privacy Notice 

We may update this Privacy Notice from time to time. Any changes will be posted on this page, with the updated effective date. We encourage you to review this notice periodically to stay informed about how we are protecting your personal information.
