Privacy Notice for events guests and visitors

This Privacy Notice explains how we collect, use, and protect the personal information of Event Guests (individuals attending or participating in our events) and Event Visitors (individuals accessing event-related content, whether in-person or virtually). By attending or engaging with our events, you consent to the collection and use of your information as described in this notice.

We may collect both personal information and sensitive personal information from Event Guests and Visitors. This may include, but is not limited to: 

 Personal Information:

- Contact Information: Name, email address, phone number, and mailing address (for event registration, communication, or follow-up).

- Event Registration Details: Information related to ticket type, preferences, and special requests (such as dietary restrictions or accessibility needs).

- Payment Information: Credit card details, billing address, and transaction information (for event-related purchases).

- Event Participation Data: Details about the sessions or activities you attend, feedback you provide, or interactions with event content (e.g., surveys, polls, live interactions).

- Technical Information: IP address, browser type, device type, operating system, and geographic location (collected automatically through cookies or tracking technologies when visiting event websites or platforms).

 Sensitive Personal Information (if applicable and with explicit consent):

- Health or Medical Information: Dietary restrictions, allergies, mobility needs, or other health-related requirements (for event accommodations).

- Identification Information: Government-issued ID or passport numbers (if required for event check-in, credentials, or secure access).

- Photographs and Videos: Images, videos, or recordings that may include your likeness taken during the event (for promotional or marketing purposes).

 2. How We Use Your Information

We use the information we collect for the following purposes:

- To facilitate event registration, communication, and participation.

- To process payments and manage event-related transactions.

- To provide services and accommodations during the event, including special requests such as dietary needs or accessibility support.

- To enhance the event experience, including personalizing content and offering relevant sessions or activities.

- To promote future events, provide updates, and send event-related information (if you have opted-in).

- To share event highlights, media, and content through our website, social media, or other marketing channels (with consent).

 3. Photographs, Videos, and Recordings

By attending or participating in our event, you acknowledge and consent to the possibility of being photographed, recorded, or filmed. These images and recordings may be used for the purposes of:

- Live broadcast in our online platforms.

- Event promotion, including marketing and advertising materials (on our website, social media, or other platforms).

- Post-event content, such as highlights, recap videos, or testimonials.

- Future promotional materials, such as brochures, ads, or event videos.

Additionally, by attending the event, you waive the right to any compensation, recognition, or remuneration for the use of your likeness, image, voice, or appearance as captured in photographs, videos, or recordings taken during the event. This includes any future use of such media for promotional, marketing, educational, or other purposes related to the event or the organization, across various platforms, including but not limited to websites, social media, print materials, and video content.

If you prefer not to be photographed, please approach our on-field Media Team (Communications and Resources Services), a De La Salle Brother, or one of our DLSP event organizer. Kindly note that not all individuals with media recording capacity are official members of our team.

If you do not wish to be photographed or recorded, please inform the event organizers or staff at the registration desk, and we will do our best to accommodate your preferences.

We may use cookies and other tracking technologies to collect information about your browsing behavior on our event websites or platforms. Our event websites or platforms may contain links to third-party websites or services, and our premises may be monitored by CCTV. Please note that we are not responsible for the privacy practices of these external sites or the security of the CCTV footage. We encourage you to review their privacy policies before submitting any personal information or engaging with their services.
