Privacy Notice for beneficiaries, scholars, parents/guardians

We respect the privacy of our beneficiaries, scholars, and their parents or guardians, and we are committed to safeguarding the personal data we collect. This Privacy Notice outlines how we collect, use, and protect the personal information of beneficiaries, scholars, and their parents/guardians in compliance with data protection laws. By participating in our programs, applicants, students, and their parents or guardians consent to the collection and use of their personal information as described below. 

 1. Information We Collect 

We collect personal and sensitive personal information to facilitate the application, enrollment, and management of beneficiaries and scholars. This may include, but is not limited to: 

- Personal Information: 

  - Name 

  - Date and place of birth 

  - Parent/Guardian name 

  - Address 

  - Email address 

  - Telephone/mobile number 

  - Dates of attendance 

  - Grade level 

  - Previous educational organization attended 

  - Date of graduation 

  - Degrees/awards/honors/benefits/scholarships/grants received 

  - Height and weight (for athletes) 

  - Performance records, including participation in events, activities, and sports 

  - Media: Photographs/Videos/Images of the individual or in groups 

- Sensitive Personal Information: 

  - Gender 

  - Ethnicity 

  - Religion 

  - Disability/Special Education Needs 

  - Grades 

  - Disciplinary records 

  - Guidance records 

  - Health records 

  - Financial records 

  - Alien Certificate/Visa/Passport information 

  - Nationality 

 2. Parental or Guardian Consent 

Beneficiaries or scholars under the age of 18 are required to obtain parental or guardian consent through a “Minor’s Consent to Release Personal Information” form. In cases where sensitive personal information is collected, written consent is required from the beneficiary/scholar (if under 18) or the parent/guardian.

 3. How We Use Your Information 

We use the personal information of beneficiaries, scholars, and their parents/guardians for the following purposes: 

- For Beneficiaries/Scholars: 

  - Processing applications and enrollment 

  - Maintaining records and academic progress 

  - Managing participation in physical education, extracurricular activities, and intervention programs 

  - Providing personal advice and support 

  - Issuing identification cards, certifications, and transcript of records 

  - Providing access to campus, library, and online platforms such as the Learning Management System (LMS) 

  - Providing medical/health services 

  - Managing safety and security on campus 

  - Marketing and publicity of the organization (with consent) 

  - Conducting research to improve programs and services 

  - Analyzing historical data for institutional planning 

  - Coordinating graduation, on-the-job training/internships, and local/international outbound programs 

  - Responding to employment and academic verification requests 

- For Parents/Guardians: 

  - Processing applications for school/benefits/aid 

  - Communicating official announcements and activities 

  - Monitoring beneficiary/scholar accounts and educational progress 

  - Processing consent forms for participation in school activities 

  - Inviting alumni to participate in events and programs 

  - Collecting and processing financial information (e.g., accounts for scholarships and grants) 

  - Media: Photographs/Videos/Images of parents/guardians or in groups 

 4. Sharing Your Information 

We do not sell, rent, or trade your personal data. However, we may share the information internally within our organization to meet legitimate purposes, with the Lasallian Network and its schools to fulfill a contract at the request of the beneficiary, scholar, or parent/guardian, and with third-party service providers when necessary, such as for educational or operational support. We may also share your data with government bodies and other entities for legal, compliance, or reporting purposes (e.g., Department of Education, Bureau of Immigration, accrediting agencies). 

 5. Data Security 

We take reasonable measures to protect the personal information of beneficiaries, scholars, and parents/guardians from unauthorized access or disclosure. However, please be aware that no data transmission method or electronic storage method is completely secure.

 6. Your Rights 

As a beneficiary, scholar, or parent/guardian, you have the following rights regarding your personal data: 

- Access to your personal data 

- Correction of any inaccuracies in your personal data 

- Request for deletion of your personal data, subject to legal obligations 

- Opt-out of receiving marketing or promotional communications

 7. Retention of Data 

Your personal information will be retained as long as necessary for the purposes described in this Privacy Notice, or as required by law. We may also retain certain records indefinitely for historical, archival, or legal purposes, such as in our alumni records or archives.

 8. Changes to This Privacy Notice 

We may update this Privacy Notice from time to time. Any changes will be posted on this page, with the updated effective date. We encourage you to review this notice periodically to stay informed about how we are protecting your personal information.
